Drop in up to 25 invoices at once as PDF, Word, Excel, CSV or photos. Each file is read in turn by the same line-item reader as our Invoice Line Item Extractor, and the results build up in a table as they finish. The Excel export has two sheets: an invoice register with one row per invoice (invoice number, supplier, dates, currency, subtotal, tax, total and number of lines) and an All Line Items sheet with every line from every invoice, tagged with its invoice number and supplier. Tax is taken from the invoice itself or from each line's stated rate; if an invoice does not state its tax, the register says so rather than guessing. Scanned PDFs are read with OCR in your browser first. Files are processed in memory on our server and are not stored.

How to use the Invoice to Excel Converter

  1. Drop in your invoices, or click to choose several at once. PDFs, Word and Excel files, CSVs and photos all work.
  2. Each invoice is read in turn, and its number, supplier, dates, totals and line count appear in the table as it finishes.
  3. Remove any file you do not want, or add more, up to 25 in a batch.
  4. Export the Excel workbook with the invoice register and all line items, or a CSV of the lines.

Frequently asked questions

How do I convert multiple invoices to Excel at once?

Drop all the invoices onto the upload box, up to 25 at a time. Each one is read in turn and added to the list, then Export Excel workbook gives you one file with an invoice register and every line item from every invoice.

What is in the Excel workbook?

Two sheets. The Invoice Register has one row per invoice with its number, supplier, invoice and due dates, currency, subtotal, tax, total and line count. All Line Items lists every line from every invoice, with the invoice number and supplier on each row, so you can filter and total by supplier.

How is tax worked out?

From the invoice itself. The converter uses the tax total printed on the invoice, or each line's stated tax rate. If an invoice states neither, the register shows Not stated instead of assuming 20% or any other rate, so you can check it.

Can I convert a single invoice to Excel?

Yes, just drop in one file. If you want to correct individual lines before exporting, use the Invoice Line Item Extractor, which gives you an editable table for one invoice at a time.

Does it work with scanned invoices?

Yes. A scanned PDF with no text layer is read with OCR in your browser, up to 10 pages, and only the recognised text is sent. Photos of invoices work the same way. Clear, straight scans give the best results.
