The Invoice Line Item Extractor reads the item table from one invoice and turns it into rows you can edit. Upload a PDF, a scan, a photo, an Excel or CSV file, a Word document or plain text, up to 25MB. For spreadsheets it maps the columns by their headings. For PDFs and photos it reads each line and checks that quantity × unit price matches the line total, marking rows that add up as high confidence and the rest for review. Correct any cell, add or delete rows, then copy the table or download it as CSV or Excel. Tax comes from each line's rate or the invoice's own tax total, and is marked Not stated rather than assumed. Files are processed on our server and not stored. To convert a batch of invoices at once, use Invoice to Excel.

How to use the Invoice Line Item Extractor

Frequently asked questions
How do I extract line items from a PDF invoice?
Upload the PDF and the tool reads each row of the item table into an editable grid with SKU, description, quantity, unit price, tax % and line total. Check any rows marked for review, then download a CSV or Excel file, or copy the table.
What does the confidence column mean?
High means the row's numbers are consistent, for example 3 × £12.50 = £37.50, or that a quantity and a total were both found. Review means something is missing or does not add up, so you should check that row against the invoice before exporting.
Can it read scanned or photographed invoices?
Yes for photos. JPG, PNG and WEBP images are converted to text with OCR before the lines are read. Scanned PDFs work too: if a PDF has no text layer, your browser reads the first 10 pages with OCR and sends only the text.
Can I edit the extracted data before exporting?
Yes. Every cell in the table can be edited, and you can add a row or delete one. The subtotal, tax and total shown under the table are recalculated from the rows you keep, and the export uses your edited values.
How do I copy invoice line items into Excel?
Click Copy and the table is placed on your clipboard as tab-separated text, so it pastes into separate columns in Excel or Google Sheets. You can also download a CSV of the lines or a three-sheet Excel workbook.
