Operations and billing tools take the retyping out of routine paperwork: expense claims, client invoices and checks on what a supplier delivered. You give them the receipts, hours or delivery notes you already have, correct the figures in an editable table, then export a file your finance team or client can use.

Receipt to Expense Report reads up to 20 receipts in one go, from photos or PDFs, and records the merchant, date, amount, tax and payment method for each. It sorts every receipt into one of ten categories, such as Travel, Meals, Fuel or Accommodation, from words on the receipt, and you can change any of them. The Excel claim includes a total per category: receipts of £45 and £35 for meals and £120 for travel make £200, split 40% and 60%. Where a receipt shows only a VAT rate, the tool works the tax out of the total, but it does not decide what you can reclaim.

The Timesheet to Invoice Generator suits freelancers and contractors who bill by the hour. Type your daily hours or import them from a CSV, Excel, PDF, Word or text timesheet, then set an hourly rate, an overtime rate and a tax rate. The tax rate starts at 20% on the UK setting and 8.25% on the US setting, and you can set it to 0 if you do not charge VAT or sales tax. 37.5 hours at £85 plus 3.5 overtime hours at £127.50 comes to £3,633.75, or £4,360.50 with VAT. You print the invoice or save it as a PDF from your own browser.

Delivery Note to Excel is for goods-in checks. It reads a delivery note or packing slip and lists the ordered and delivered quantity on each line, with a shortfall column worked out as ordered minus delivered, so 50 ordered and 46 delivered shows 4. Uploaded files are read on our server in memory and not stored, while invoice totals are calculated in your browser.

How do I turn a pile of receipts into an expense claim?

Upload up to 20 receipt photos or PDFs to Receipt to Expense Report. Check the merchant, date, amount and category on each row and correct anything that was misread, then export the claim to Excel or CSV. The workbook shows a spend total for each of the ten categories, ready to attach to your claim.

How do I make an invoice from a timesheet?

Enter or import your daily hours, set your hourly and overtime rates, and the Timesheet to Invoice Generator works out each day's charge, the subtotal, tax and total. Add the client and invoice details, then click Print / Save PDF and choose Save as PDF in your browser's print dialog, or export the invoice to Excel.

How is overtime charged on an invoice?

Overtime hours are multiplied by the overtime rate and added to standard hours times the hourly rate. For 37.5 hours at £85 plus 3.5 overtime hours at £127.50, the subtotal is £3,633.75. With 20% VAT of £726.75 the invoice total is £4,360.50. The tax rate applies to standard and overtime hours alike.

How do I record a short delivery?

Compare the ordered and delivered quantity on each line and note the difference. Delivery Note to Excel does this from the delivery note itself and adds a Shortfall column, ordered minus delivered, so 50 ordered and 46 delivered shows 4. A negative figure means you received more than you ordered on that line.

Can I edit the data before exporting it?

Yes. Receipts, timesheet rows and delivery note lines all appear in editable tables first. Change any value, add or remove rows, and the export uses your edited figures, so a misread total or a wrong category never reaches your spreadsheet or your client's invoice.
